Administrative Assistant – in-office work (Pretoria East)

Adorn Media Studio, a fast-paced visual communication studio, is seeking a highly motivated and organised Administrative Assistant to join our small but dedicated team. We are known for going the extra mile for our clients, particularly assisting start-up companies with their branding needs. Responsibilities:

  • Act as the primary point of contact for clients, communicating effectively through meetings, emails, and calls.
  • Understand design work to gather comprehensive briefs from clients, ensuring the designers and developers have sufficient information to complete their tasks.
  • Manage project and task organisation, assigning tasks to the appropriate team members and ensuring timely completion.
  • Follow up with clients, send work for review and approval, and address any feedback or revisions.
  • Create quotes and invoices, and monitor payment status by checking bank statements.
  • Proactively track and notify clients of domain, hosting, or software license renewals.
  • Prepare and distribute monthly reports to clients for digital marketing campaigns.
  • Demonstrate problem-solving skills and effectively communicate with both clients and internal team members.

Requirements:

  • Strong computer skills.
  • Demonstrated ability to think independently and work proactively without constant supervision.
  • Organisational skills and attention to detail to manage client communications, project briefs, and task assignments effectively.
  • Familiarity with design concepts to understand client requirements and ensure accurate briefs for designers and developers.
  • Excellent communication skills, both written and verbal, to interact professionally with clients and convey information clearly.
  • Self-discipline and the ability to thrive in a fast-paced environment, keeping up with the demands of the team.
  • Prior experience in administrative roles or customer service is preferred.
  • Experience with invoicing & payment tracking is an advantage.
  • Fluent in English and Afrikaans.
